AACF Seeks Finance and Administrative Director

Position Overview

This is a full-time position in the Little Rock office of AACF. This position can work 30 (80%) to 37.5 (full-time) hours per week, depending on the candidate’s needs. This position will assist the Deputy Director with management of finances, grants, human resources, administration, and IT support. Will also assist the Little Rock Development Director with administrative support including management of the customer relationship management software (CRM). Candidates should have experience in bookkeeping and daily operations of a business. Previous experience with nonprofit bookkeeping is preferred but not required. This position must support AACF’s equity statement and be committed to supporting equity in all areas of the work.

The full-time annual salary range is $65,000 to $70,000 depending on experience. If the candidate works less than full-time, the salary will be pro-rated based on the number of hours worked per week. This position works in-person in the Little Rock office. If the candidate is full-time, this position can work from home on Fridays but must be available to come in periodically on Fridays during core business hours if needed. Qualifications

Must have experience in bookkeeping and daily operations of a business (for profit or nonprofit). Previous experience with nonprofit bookkeeping is preferred but not required. Proficient in Quickbooks, Excel, and CRM. Candidates who have 5 or more years of experience in a similar position will be eligible for the higher salary range.

Responsibilities

  • Perform weekly book-keeping tasks including payables and receivables and reconciliation of monthly bank statements and database.
  • Assist the Deputy Director with quarterly close and allocation of grant funds.
  • Assist the Deputy Director with prep work for annual audit and 990 tax return.
  • Oversee the technology of the central office and the Northwest Arkansas office including troubleshooting problems with staff to determine when IT consultant’s assistance is needed, working closely with the IT consultant to make sure problems are fixed timely, purchasing software and equipment, ensuring the network server is properly maintained by the IT consultant.
  • Oversee purchase and maintenance of office equipment including phone system, copier, postage meter, computers, etc. Contact vendors when there are maintenance issues.
  • Work with property manager on renewal of lease and maintenance issues.
  • Assist the Deputy Director with human resource tasks including submitting payroll and retirement contributions, creating and reviewing leave sheets, maintaining fringe benefits package for staff including the 401(k) plan and health insurance policies, and coordinating hiring packet and orientation for new staff members.
  • Assist the Deputy Director with preparing and submitting documentation for grant proposals, maintaining grant correspondence and award notifications, and notifying staff when grant proposals and grant reports are due.
  • Work closely with the Little Rock Development Director and Northwest Arkansas Development Director to ensure that donations are entered correctly and timely into the donor database, credit card transactions are processed timely, gift acknowledgement letters and deposits are made timely, and reports are generated to analyze donor data.
  • Assist the Little Rock Development Director including administrative support, assisting with mailings, generating reports, tracking annual board pledges, and helping with special events.
  • Oversee the use of CRM software (currently Neon and OneCause), including training staff on how to use it and troubleshooting problems, entering contact and donor information along with gifts, setting up online registration for events, importing and exporting information into the database, and assisting staff with generating reports from the database.
  • Assist the Executive Director with board duties including coordination of board and committee meetings and the annual retreat. Ensure that board minutes are recorded and saved properly.
  • Provide executive assistant support to the Executive Director.
  • Assist the Deputy Director with teambuilding activities for the staff including leading the staff team building committee, planning staff meetings and retreats, and recognition of birthdays and special occasions for staff.
  • Greet guests and answer office phones when part-time Administrative Assistant is not available, and ensure coverage of phones and front desk by other staff members when out of the office. Review and distribute (or reply to) emails and phone calls sent to the AACF general email account (connect@aradvocates.org).
  • Maintain office calendar and ensure meetings in the conference room are on the calendar. Maintain and prepare conference room for meetings (coffee, tea, water, etc.) as needed.
  • Make sure the common areas of the office (supply room, storage room, etc.) are kept neat and organized and schedule all staff clean-up days as necessary. Assign weekly kitchen duty to staff.
  • Maintain office and kitchen supplies and order as necessary.
  • Ensure that mail (both incoming and out coming) is processed daily.
  • Oversee the duties of the part-time Administrative Assistant.
  • Other duties as assigned.
  • Must have transportation to run periodic errands in town.

Compensation

Interview Process

  • Stage 1*: From the time the position is advertised, AACF collects resumes for three to four weeks before interviews begin.  
  • Stage 2: Up to 8 candidates may be asked to participate in an initial screening call/Zoom with the Deputy Director. 
  • Stage 3: Up to 6 candidates will be asked to participate in an in-person interview with the Deputy Director. 
  • Stage 4**: Up to 3 candidates will be asked to participate in an in-person interview with the Central Arkansas Development Director. 
  • Stage 5: Final candidates will be asked to participate in a final interview with the Executive Director before the decision is made. 

*Candidates can continue to apply after the interviews begin. AACF accepts applications until the position is filled. Once interviews begin, the process can take up to 4 months before a final decision is made depending on number of candidates and scheduling availability of candidates and staff.
